Link a shift note to your shift¶
When you write a shift note, you can tie it to the rostered shift it records. The roster then knows which shifts have a note.
Linking is your choice. The portal never links a note for you.
Link a note¶
- Choose Shift Notes, then New Shift Note, as usual.
- Pick the date and the start time.
- Find the Rostered shift field. It lists your own shifts around that date and time.
- Choose the shift you worked, or leave it as Not linked.
- Choose Save.
A few things to know:
- The field never picks a shift for you, even when there is only one to choose from.
- Choosing a shift changes only the link. It does not fill in or change any other part of your note.
- If the shift you choose is not close to the note's date and time, the portal asks you to check it is the right one.
- If you have no rostered shifts around that date, the field says so, and you can still save the note without a link.
You can see the link afterwards on the note, under Rostered shift.
For administrators: Missing notes¶
The Missing notes tab on the Roster page lists past shifts where an assigned worker has not linked a shift note. The tab shows a count when something is outstanding.
- Each row is one worker on one shift. It shows the worker's name, the date and time, and the shift type, and nothing else.
- Show shifts from the last lets you look back 14, 30 or 90 days.
- A row clears when the worker links their note to the shift. Nothing is matched by date or time, so a note that is not linked does not clear a row.
- The list is only for follow-up. You cannot link a note or write one on a worker's behalf from here.
Shifts from before your organisation started linking notes are not listed, because nobody had the chance to link them. When that falls inside the period you chose, the tab says when linking started, for example Linking notes to shifts started 2 October 2026, 09:30. Earlier shifts are not listed.
If every ended shift has a linked note, the tab says No missing notes.
A missing link is not the same as a missing note
A worker may have written the shift note and simply not linked it. A row on this tab is a prompt to ask, not a finding that the note was not written.
When an administrator edits a note written by someone else, the Rostered shift field shows that author's shifts.
