Shift emails¶
If your organisation sends shift emails, support workers are emailed when the roster changes for them. This page explains what you will receive, and what the emails leave out.
Whether emails are sent is decided for the whole portal, not by each person. If you are not receiving them and think you should be, ask your administrator.
When you get an email¶
You get an email when an administrator saves a roster change that affects your shifts:
- New shift: you have been added to a shift.
- Shift changed: a shift you are on has moved, or its type has changed. The email shows what it was and what it is now.
- Shift cancelled: a shift you are on has been cancelled.
- Taken off shift: you are no longer on a shift that is still running.
One email per save¶
If one save changes several of your shifts, you get a single email listing them, not one email for each. The subject tells you how many, for example Your roster has changed (3 shifts).
When an administrator sets up a repeating pattern that puts you on new shifts, the email is headed New shifts and lists them, up to 20 in one email.
What an email says¶
Each email is deliberately short. It contains:
- a greeting with your first name,
- the name your organisation uses for its roster,
- the date,
- the time range, with the time zone,
- the shift type.
It also has a button that takes you to the portal.
What an email leaves out¶
Emails travel outside the portal, so they never include:
- the participant's name,
- an admin note,
- a cancellation reason,
- who else is on the shift,
- any shift note.

Emails and your calendar¶
An email is your alert. A calendar link can lag behind, because your calendar app decides when to refresh. See See your shifts in your own calendar.
Appointments¶
Appointments do not send emails. Workers hear about appointments by seeing them on the roster. See Appointments.
