Coverage and open shifts¶
Coverage answers one question for administrators: is someone rostered for every hour that needs support? The portal highlights the hours where nobody is, and the shifts that nobody has picked up yet.
Coverage is shown to administrators only.
Set the hours that need cover¶
- Open Admin, and go to the Organisation section.
- Find Required coverage.
- Under Coverage, choose one of:
- Set hours, then choose the From and Until times, for example 07:00 to 22:00. If the end is earlier than the start, the window runs overnight and the page shows (ends the next day).
- 24 hours, every day, for round-the-clock support.
- Off (don't highlight gaps), if you do not want gaps highlighted.
- Choose Save.
The page shows what is currently set, for example Current: 07:00–22:00. Times are in your organisation's time zone. Only an organisation administrator can change this setting.
What you see on the Week view¶
Above the week grid, one line sums up the week. For example:
- No gaps this week,
- 1 gap · 2h uncovered this week,
- No gaps · 1 open shift this week.
The line has a warning symbol and wording as well as colour, so it does not rely on colour alone.
Inside the grid, each stretch of required time that nobody covers appears as a card that starts with Uncovered, followed by the times, for example Uncovered 07:00–09:00. Past days show their gaps in the same way, as a record of what happened.
What counts as cover¶
- A scheduled shift with at least one worker on it covers its hours.
- An open shift (no workers) does not cover anything yet. It is counted, so you can see how many still need someone.
- Cancelled shifts never cover.
- Appointments never cover.
Switching Show cancelled shifts and appointments on or off does not change coverage.
Open shifts¶
An open shift is a shift with nobody assigned. To fill it, open the shift, tick the worker or workers, and choose Save changes. The open shift count and any gaps update when the week reloads.
When coverage is not checked¶
Repeating shifts are only planned a limited time ahead. For weeks beyond that, the Week view says Repeating shifts are only planned 12 months ahead, so coverage isn't checked for this week.
To plan the shifts that cover each day, see Plan the roster and Repeating shifts and edit scopes.
